How we collect, use and protect your personal data.

Mindset Media respects your privacy. This policy explains which personal data we collect through mindsetmedia.nl, why we do so, how long we keep it and what rights you have. We process personal data in accordance with the EU General Data Protection Regulation (GDPR, in Dutch: AVG).

1. Who we are

Mindset Media is responsible for the processing of personal data described in this policy.

2. Which personal data we collect

We only collect personal data that you provide to us yourself, or that is created automatically when you visit our website:

  • Contact form and email: your name, email address, company name (optional) and the content of your message.
  • Newsletter: your name and email address.
  • Website visits: technical data such as your IP address, browser type and the pages you visit. This data is processed by our hosting provider to deliver and secure the website.

We do not knowingly collect data from children under 16. If you believe we have done so, please contact us and we will delete it.

3. Why we use your data

  • To answer your questions and requests, and to follow up on a possible collaboration. Legal basis: our legitimate interest, or steps taken at your request before entering into an agreement.
  • To send you our newsletter. Legal basis: your consent. You can unsubscribe at any time via the link in each newsletter or by emailing us.
  • To keep our website working and secure. Legal basis: our legitimate interest.

We do not sell your personal data and we do not use it for automated decision-making or profiling.

4. How long we keep your data

  • Contact requests: up to two years after our last contact, unless a working relationship follows. In that case we keep the data for as long as needed for that relationship and as required by law (for example, the seven-year tax retention period for invoices).
  • Newsletter subscriptions: until you unsubscribe.
  • Technical website data: no longer than necessary for the purposes above.

5. Who we share your data with

We only share your data with parties that help us run our business, such as our website and hosting provider Webflow, Google (for Google Analytics) and our email provider. These parties act as processors on our behalf and may only use your data for that purpose. Some of these providers are based outside the European Economic Area, such as in the United States. In that case we rely on appropriate safeguards, such as the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses.

We may also share data if we are legally required to do so.

6. Cookies

Our website uses functional cookies that are needed for the website to work properly. With your consent, we also use Google Analytics to understand how visitors use our website, for example which pages are visited most. Google Analytics places cookies and collects data such as your IP address (anonymised), device and browser type, and the pages you visit. We use this information only to improve our website. Google Analytics is only loaded after you click ‘Accept’ in our cookie banner. You can change your choice at any time via ‘Cookie settings’ at the bottom of every page, or delete cookies through your browser settings. We do not use advertising cookies.

7. How we protect your data

We take appropriate technical and organisational measures to protect your personal data against loss and unauthorised access. For example, our website uses a secure (HTTPS) connection, and access to your data is limited to the people who need it.

8. Your rights

You have the right to:

  • access the personal data we hold about you;
  • have incorrect data corrected;
  • have your data deleted;
  • restrict or object to the processing of your data;
  • receive your data in a structured format (data portability);
  • withdraw your consent at any time, without affecting processing that took place before you withdrew it.

9. Complaints

If you are unhappy with how we handle your personal data, please contact us first so we can try to resolve it. You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.

10. Changes to this policy

We may update this privacy policy from time to time. The latest version is always available on this page. The date at the top shows when it was last changed.
